How Do I Choose the Best Printer Paper?

Paper is paper, right? Wrong - all papers are not created equal. Your definition of the best printer paper is dependent mostly on what you need it for. Okay, let’s assume you’re preparing for a super-important presentation; you’re going to need all the help you can get and, whether you realize it or not, your choice of paper can help too. How? The paper will be carrying information that you intend to pass to your audience, so the papers are distributed and you realize that some of the text is smudged or the papers are bleeding through. What do you do? Honestly, there’s nothing much that can be done at that point. After your presentation, a colleague or competitor comes in with professional-grade paper (even you have to admit that the text and images are bold and clear) and has the audience all absorbed in the distributed papers.
Let’s stop the imagining here because we really don’t want that to be you.

So, what are you supposed to do? You first have to realize that if you want to get the best results from your printer paper, you’ll have to be deliberate about choosing it. Printer paper types are as diverse as printer types and what you’re going to be printing on them. If you’ve ever had ink stains on your fingers from a paper just off the printer, you’ll understand the inconvenience a poorly-made paper can cause. However, when you’re armed with the correct information, choosing the best printer paper can be quickly taken care of.

There are many good printers on the market and some of them are designed to work best with certain papers. So, if you already have a printer, it’s best you consult its manual as to which type of paper is to be used with it. Before we go on, let’s look at the types of printer papers available.

There are basically two types of printer paper:
  • The multipurpose printer paper: it’s sometimes referred to as copy paper and can serve a wide range of everyday printing purposes. It does not have a specialized finish making it suitable for lots of office and home use. It’s compatible with printers, fax and copy machines. An example is the regular letter paper
  • Specialty paper: this is paper that’s suitable for special purposes because it has particular characteristics and properties. Examples of this type of paper include photo paper, fine stationary, security paper, cardstock etc.

Another way to categorize paper is based on the type of printer it was designed for; there are two types of note:
  • Laser paper: this paper is specifically created for LaserJet printer technology and is hard and smooth, designed with a surface that can withstand the heat that is required to fuse toner particles to its surface. The result is print that’s clearer, sharper and has more contrast
  • Inkjet paper: this is created for Inkjet printers and has a clay or calcium carbonate coating which helps in the absorption of ink without smudge or smear
It’s important to note that using any of these papers in the ‘wrong’ printer will result in poor print and image quality and damage of hot fuser rollers.

Another thing we ought to talk about is finish. Printer paper can be coated or uncoated with coated paper available in matte and gloss finish. Cheap printer papers may do for your personal printing purposes like printing webpages but when you’ve got to make a good impression, it’s best you go with good quality paper as it’ll look better with your resumes, proposals, presentations, contracts, etc. It’ll also send a better message of your person and character.

If you want to save some cash and still meet up with your printing needs, we advise you print your drafts, abstracts and rough work on cheap printer paper. You can also employ multipage printing where multiple pages are printed – in small but readable font sizes – on a single paper. Double-sided printing might seem like a good way to save paper but it isn’t as frequently doing so can stress your printer, lead to low quality prints and eventually printer repair expenses. Construction and Design
Printer paper comes in different types and sizes. When shopping for paper, you may remember that not all paper sizes will fit into a small office or home printer. The most common size for printer paper is 8.5 x 11 inches and is called letter paper; it’s also commonly called regular paper. It can be used with any printer, copier and fax machine. Other sizes include 4 x 6 inches, 5 x 7 inches (both are standard photo size and can be used for printing photos at home), 8 x 14 inches (known as legal paper and may not fit small printers), 11 x 17 inches (called ledger paper and is the size of 2 letter papers placed side by side) and so on.

The weight of the paper can either give it a distinguished look or a cheap one. Paper weight is measured in two ways which are pounds per ream (lbs) and gram per square meter (gsm). The weight of paper in pounds per ream is the weight of 500 sheets of the paper in its raw, uncut size and it may be cover, bond, text, book, tag or index before it is cut down into smaller letter paper (for instance). The weight of paper in gram per square meter (gsm or g/m2) is simply the weight of 1x1 square meter of the paper. The rule of thumb is this: the higher the number of pounds or gsm, the thicker the paper. The average weight of plain paper is 20lbs (75gsm) while 24lbs (90gsm) is higher-grade stock. Paper with a thickness rating of 28 to 32 pounds (105 to 120 gsm) are usually considered stationary grade and are most suitable for professional use only. Seeing as they’ll cost more, they’re not recommended for everyday use.

Another factor to consider is opacity; when you hold up your printer paper, are you able to make out shapes and shadows through it? Your answer to this question will determine how opaque your paper is. Opacity is the degree to which a piece of paper prevents the passage of light through it. Translucent paper such as a 20lb multiuse printer paper has an opacity score of 10 and is not suitable for double-sided printing as it’ll bleed through.
Performance and Ease of Use
The brightness of a paper is important as it may make the difference between a professional-looking document and a dingy-looking one. The higher the brightness rating of the paper, which is on a scale of 1 to 100, the greater the contrast between ink and paper and this translates into vibrant pictures and bolder texts. The texture or smoothness of a paper is used to describe how a paper feels and depending on a number of factors, paper can be smooth, grained or matte. Smooth papers work best on Laser and Inkjet printers while textured paper are more of specialty papers.

It’s advisable to have printer paper handy at all times, and even more advisable to have both 20lb and 24lb at the same time. This is because you’ll be able to have all your personal printing needs met and be ready to make those important documents when the need arises. Another way to do this is to stock up on good quality multipurpose paper; this will save you the hassles of having to load and off-load papers from the printer.

Printer paper is sold in small packs, reams, poly reams and packs. Depending on your budget, you can conveniently shop any of the price range available with each unit. If you’re paper-shopping for personal home use the smaller packs may be all you need but if you’re shopping for a business or office use, you’re going to want the poly reams and bigger packs as they offer a better bargain than buying in reams.
